  • Digitization and personalization of documents are redefining the customer experience in sectors such as banking, insurance, and manufacturing.
  • Generation Z will drive the new paradigm in the relationship between companies and documents: more visual, dynamic, and personalized.

Madrid, September 12, 2025. The document management market in Latin America closed 2025 in full transformation, driven by accelerated digitization, remote work, and the need to comply with stricter regulations. According to DocPath’s annual overview, a global company specialized in software solutions for information management and customer experience, this year marked the definitive shift toward smarter, more connected, and user-centered digital environments.

Document management is leaving behind its traditional role. In 2025, Latin American companies understood that a well-designed, secure, and accessible document can become a channel for communication, loyalty, and sales. This evolution allowed us to achieve 50% growth in Latin America during the year, consolidating DocPath as a technological reference in the region,” said Juan Carlos Olivares, CEO of DocPath.

A year of progress

According to company data, more than 70% of Latin American companies adopted cloud-based document management systems (DMS). Scalability, remote accessibility, and reduced operating costs solidified as the main drivers of this transition. In addition, over 55% of organizations prioritized mobile solutions that ensure access and collaboration in hybrid environments.

Regulatory progress on digital accessibility and data protection also influenced business strategies, pushing the adoption of more secure systems compatible with international regulations.

At the same time, automation and artificial intelligence (AI) positioned themselves as key engines of efficiency. Intelligent indexing, automated workflows, and predictive algorithms reduced human error and accelerated processing times. These capabilities, combined with AI tools, enabled the personalization of communication between brands and users, generating more intuitive and effective interactions.

Automation is no longer a competitive advantage but a necessity. This year we saw companies betting on systems capable of learning and anticipating user needs,” added Mauricio Saavedra Pazos, DocPath’s sales director in Latin America.

Industries leading the digitalization

The healthcare, banking, education, logistics, manufacturing, and insurance sectors were the most active in the implementation of document management systems, driven by the need to optimize processes, reduce paper usage, and respond to increasingly digital consumers.

The insurance sector also advanced significantly, digitalizing internal processes and strengthening personalized communication with policyholders. “Insurers are taking decisive steps toward digital transformation. In Colombia, for example, Equidad Seguros and Solidaria recently joined our client base, reflecting how the sector is prioritizing solutions that improve the user experience and strengthen trust in their services,” highlighted Mauricio Saavedra Pazos, DocPath’s sales director in Latin America.

Looking ahead to 2026, DocPath foresees document management consolidating as a strategic communication channel between companies and their users. Generation Z, with its preference for authentic, visual, and personalized digital experiences, will set the pace of this evolution.

Among the main trends that will define the coming year:

  • Automation and artificial intelligence: generation of dynamic, predictive content adapted to each customer profile.
  • Personalized experiences: greater loyalty and relevance through contextualized communications.
  • Omnichannel: integration of documents across multiple platforms, including applications, chats, social networks, and portals.
  • Interactions as sales channels: documents evolve to boost cross-sell and upsell strategies.

Companies have been leaving behind paper-based processes and moving toward digital models that are more agile, secure, and focused on user experience, consolidating document management as a strategic pillar of their digital transformation. In 2026 we will see the next phase of that evolution, with documents that become interactive and empathetic experiences, capable of reducing costs, increasing revenue, and strengthening customer relationships,” concluded Juan Carlos Olivares, CEO of DocPath.
